The lowest unit price is not automatically the lowest comparable cost. First establish that quotations cover the same furniture, quantity, packaging and delivery responsibilities. Keep unresolved differences visible before choosing a supplier.

Check whether each price is per piece or per set
A classroom set and a chair-only offer can look similar in a price table. Record exactly what one quoted unit includes. Hongzhou’s HZ-CT-N2-01 listing is a desk-and-chair set reference; HZ-ST-625 is a chair reference. They should not be treated as interchangeable quotation lines. State accessories and spare parts separately.
Compare a dated specification
Give suppliers the same drawing or requirement sheet. Compare dimensions, materials and thicknesses, finish, assembly method and included components. Keep a column for “confirmed”, “deviation” or “pending”. A matching model description is not enough when the configuration or material changes.
Separate product price from delivery scope
Record currency, quantity, named delivery location and included services. Ask which freight, destination handling, unloading, assembly or other costs are excluded, then verify those costs with the relevant providers. Do not compare a factory collection price directly with a delivered-to-school price.
Review packing and the practical delivery plan
Ask for carton dimensions, gross weight, units per carton and separate desk/chair packaging where applicable. An estimated loading quantity needs a packing basis for the actual product mix. Identify who supplies assembly instructions and who handles missing components or transit-damage claims.
Compare evidence and commercial conditions
Record sample costs, inspection arrangements, quotation validity, payment milestones, production timing and warranty scope. Request documents for the proposed configuration. Missing evidence is a question to resolve, not a reason to mark a specification as compliant. Have the responsible purchasing and logistics teams review the final conditions.
Use a comparison checklist
Product/configuration revision: ___ Quantity and unit: ___ Currency, unit price and total: ___ Included accessories and packing: ___ Named delivery place and exclusions: ___ Sample and inspection arrangements: ___ Timing and starting conditions: ___ Required documents: confirmed / pending / deviation Validity, payment and warranty terms: ___
Resolve differences before negotiating the price
Ask for a revised quotation where the scope differs. If a supplier proposes a different configuration, retain it as a separately identified alternative. Keep the approved specification and the accepted quotation together so a later order is traceable to the same requirements.
Common buyer questions
Can two similar photographs justify a direct price comparison?
No. Confirm the specification, included pieces and delivery scope. Similar appearance does not establish the same materials or performance.
Is container capacity fixed for every order?
No single estimate should be assumed for every mix. Request packing data and a loading estimate for the selected configurations and quantities.
