A useful school furniture request for quotation (RFQ) tells suppliers what you need, how many units you need and where they must go. A model photograph is a starting point; a written specification and a defined delivery scope make the responses easier to compare.

Start with a model and a clear unit of purchase
Use one line per product. Include a model reference, photograph or drawing, quantity and unit. Write “desk-and-chair sets” when you need both pieces; write “chairs only” when the desk is excluded. Separate teacher furniture, storage and spare parts instead of assuming they are included.
For example, Hongzhou lists HZ-CT-N2-01 as a student desk-and-chair set. Use that model as a reference for discussion, then confirm the current configuration in writing. A listing does not confirm stock, a reserved production slot or suitability for a specific tender.
Separate mandatory requirements from preferences
State required desk and seat heights, worktop dimensions and units of measurement. Identify materials, finishes, accessories and colour references that are mandatory. If alternatives are acceptable, ask suppliers to identify each proposed deviation rather than silently substitute a different product.
Define destination and timing
Provide the destination country and port or city. Separate the requested shipment date, arrival date and installation deadline. Explain whether you need delivery to a port, warehouse or school, and who will arrange assembly. Ask for the proposed schedule and its starting conditions; do not treat an indicative lead time as a confirmed arrival commitment.
Identify the documents you need
List the procurement specification, required test standards and editions, report requirements and inspection process. Ask whether any available report covers the exact model and configuration. Product photographs and a general company certificate cannot establish conformity of a particular item.
Request the same quotation breakdown from each supplier
Ask for quantity basis, currency, unit and total prices, delivery scope, packing details, validity, payment terms and exclusions. If sample evaluation is needed, request sample and freight costs separately. Confirm minimum order requirements for the exact configuration rather than assuming there is one universal MOQ.

Common buyer questions
Can I enquire before choosing a model?
Yes. Describe the furniture type, intended users, quantity and destination, and include a reference image if available. Product suitability and final details still need review.
Does the website specification form the final order specification?
Use the listing as a configuration reference. Confirm a dated specification, commercial terms and any required documentation before ordering.
