A sample is useful when both buyer and supplier know what it is meant to demonstrate. Agree the configuration, review criteria, costs and decision process before arranging shipment. Keep any differences between the sample and the intended order in writing.

Choose the configuration you want to review
Specify the model, drawing revision, dimensions, colour and included components. If considering a Hongzhou HZ-CT-N2-01 set, identify whether the review covers both desk and chair. If you need a seating-only review, use the appropriate chair reference, such as HZ-ST-625, and confirm its current specification.
Agree the commercial and logistics details
Request sample availability, preparation timing, sample price, packing, freight arrangements and any destination costs. Ask whether any sample-fee credit is available and under what conditions; do not assume samples or freight are free. Confirm the delivery address and the person responsible for receiving and inspecting the package.
Set a practical evaluation checklist
On receipt, check the model identification, included parts, visible finish, dimensions against the agreed drawing and assembly instructions. Record damaged packaging or missing parts with photographs. Have the intended project team assess usability and fit for its requirements. Do not perform improvised load or destructive tests; use an appropriate agreed test procedure where performance evidence is required.
Keep product inspection separate from certification
A visual sample review does not establish compliance with a required standard. If reports are necessary, check their identification, model, configuration and stated scope. Note any change in materials or construction that may need further technical review. Request missing evidence rather than replacing it with a general assurance.
Record the decision and any remaining conditions
Use a dated sample-review record with photographs, drawing revision, accepted points, deviations and required corrections. State whether the decision is approved, approved subject to listed corrections, or not approved. Name the authorised reviewer and identify the physical or documented reference to be used for later production checks.

Confirm the production order separately
Sample approval does not by itself confirm bulk pricing, MOQ, production timing, warranty or freight. Review the final specification and order terms separately. If the proposed production item differs from the sample, document and approve that difference before placing the order.
Common buyer questions
Does a sample prove every production item will be identical?
It provides an agreed reference. Define the production specification and inspection arrangements separately.
Are samples and shipping free?
Availability, costs and any credit conditions must be confirmed for the request. This guide does not promise free samples or freight.
